TheNumbersHub Privacy Policy

Effective October 3, 2026

1. Introduction and Scope

This Privacy Policy explains how TheNumbersHub (“TheNumbersHub,” “we,” “us”) collects, uses, discloses, and protects personal information when you use our bookkeeping and accounting software, including our web application, mobile application, and related services (collectively, the “Service”). This Policy applies to visitors, registered users, and anyone whose information we process on a customer's behalf. It does not apply to third-party websites or services you reach through links in the Service.

By using the Service, you agree to the collection and use of information as described here. If you do not agree, please do not use the Service.

2. Information We Collect

Information you provide directly:

  • Account information: name, email address, phone number, business name, and password.
  • Billing information: payment card details (processed by our payment processor; we do not store full card numbers).
  • Business and financial records you enter or upload: invoices, bills, chart of accounts, vendor and customer contact details (including 1099 tax identification information you choose to record), and supporting documents.
  • Communications: messages you send to support, survey responses, and feedback.

Information from connected financial accounts:

  • When you link a bank or credit card account, our banking-data provider (currently Plaid) transmits transaction and balance data to us on your authorization. We do not receive or store your online banking credentials — those are entered directly with the provider.
  • Payment and payout data from our payment processor (currently Stripe) when you send or collect payments through the Service.

Information collected automatically:

  • Usage data: pages and features used, actions taken, timestamps, and session duration.
  • Device and log data: IP address, browser type, operating system, device identifiers, and crash logs.
  • Cookies and similar technologies (see Section 7).

3. How We Use Information

We use the information we collect to:

  • Provide, maintain, and improve the Service, including posting your invoices, bills, and payments to your ledger and generating your reports.
  • Process transactions and payments through our payment processor.
  • Communicate with you about your account, respond to support requests, and send service-related notices.
  • Detect, investigate, and prevent fraud, abuse, and security incidents.
  • Comply with legal obligations, including tax-information reporting (such as Form 1099 data) you configure within the Service.
  • With your consent or where legally permitted, send product updates and marketing communications, which you may opt out of at any time.
  • Improve and develop the Service using aggregated or de-identified data that does not identify you or any individual.

4. How We Share Information

We do not sell your personal information. We share information only as follows:

  • Service providers who perform functions on our behalf under confidentiality obligations, including our banking-data provider (Plaid), payment processor (Stripe), cloud hosting provider, and customer-support tools.
  • Your organization's other users, to the extent your organization's administrators grant them access to shared records.
  • Integration partners you connect, only with your express authorization to that connection.
  • Legal and safety purposes: to comply with law, respond to lawful requests, or protect the rights, property, or safety of TheNumbersHub, our users, or the public.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy or a successor policy with equivalent protections.

5. Data Retention

We retain personal information for as long as your account is active and as needed to provide the Service. After account closure, we retain financial and transaction records for the period required by applicable tax, accounting, and recordkeeping laws (commonly 5-7 years for financial records), and other information only as long as necessary for legitimate business or legal purposes, after which it is deleted or anonymized.

6. Your Rights and Choices

Depending on where you live, you may have the right to:

  • Access, correct, or delete your personal information.
  • Obtain a portable copy of your data.
  • Object to or restrict certain processing.
  • Opt out of the sale or sharing of personal information (we do not sell personal information) and withdraw consent where processing is consent-based.
  • Appeal a denied request and, for California residents, designate an authorized agent.

You can exercise most of these rights directly within your account settings, or by contacting us at the address in Section 13. We will verify your identity before acting on a request. EU/UK/Swiss residents also have the right to lodge a complaint with their local data protection authority.

7. Cookies and Tracking Technologies

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. We do not use cookies for third-party behavioral advertising. You can control cookies through your browser settings and our in-app cookie preferences; disabling some cookies may limit functionality.

8. Children's Privacy

The Service is intended for businesses and individuals who are at least 18 years old. We do not knowingly collect personal information from children, and we will delete any such information if we become aware of it.

9. Financial Account and Tax Data

Because the Service links to bank accounts, processes payments, and tracks tax-reporting information, we highlight these practices specifically rather than leaving them to general “service providers” language:

  • Bank-linking (Plaid): transaction and balance data is retrieved only after you authorize the connection, and can be revoked at any time from your account settings or directly with the provider.
  • Payments (Stripe): payment card and payout data is handled under Stripe's own privacy and security practices; we receive confirmation and transaction-reference data, not full card numbers.
  • 1099 and tax data: vendor tax-identification information you enter is used solely to generate the tax reports and forms you request, and is shared with tax authorities or your accountant only at your direction.

10. International Data Transfers

We are based in the United States and may process information in the U.S. or other countries. Where we transfer personal information out of the EEA, UK, or Switzerland, we rely on recognized safeguards such as Standard Contractual Clauses and the UK International Data Transfer Addendum.

11. Security

We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, and regular review of our practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

12. Changes to This Policy

We may update this Policy from time to time. We will post the revised Policy with an updated effective date, and for material changes, provide additional notice (such as email or an in-app notice) before the changes take effect.

13. Contact Us

Questions, requests, or complaints about this Policy can be sent to privacy@[your domain] or by mail to [TheNumbersHub legal entity name and registered business address].
